A dance studio runs on batches: beginners on Tuesday and Thursday, intermediate on the weekend, a Bharatanatyam arangetram group that meets whenever the guru is free, and a stream of walk-ins who want to try one class before committing. The admin work behind that is attendance per batch, fees per student, a changing timetable, and a lot of announcements. Tvarly's dance class management software handles each of those from the same class record.

Every batch has a weekday-and-time grid that generates its dated classes. Attendance is marked on a phone at the studio door, and a drop-in student can be added to that one class as a billable attendee without being enrolled. Monthly fees create themselves before the due date and remind parents on WhatsApp; a term workshop or a costume charge is a one-time fee on top. When the annual recital is announced, a circular goes to the parents of exactly the batches performing, by email and WhatsApp, with the schedule attached.

    Create a course per style and a batch per level. Each batch's timetable generates its classes, with a waitlist when the room is full and a substitute teacher when the regular one is away.

    A student trying a class is added to that class alone as a drop-in and billed for it, or booked as a free demo and never billed. Enrol them properly when they decide to stay.

Can a student be in two batches at once?

Yes. A student enrols per batch, so a student in both the Saturday contemporary batch and the weekday hip-hop batch has two enrolments, two fee plans if you wish, and one attendance history.

How do I handle a student who comes only now and then?

Enrol them on per-class billing, prepaid or postpaid. They are billed for the classes they attended, with the arithmetic shown, and reminded like everyone else.

Can parents see the class schedule and dues?

Yes. The student and parent portal on your own domain shows the schedule, attendance, fees with a Pay Now button and any notes or videos you share. A parent switches between children in one login.

Can I share practice videos with a batch?

Yes. The content library holds notes, worksheets and videos, uploaded or linked from YouTube or Drive, visible to the students you choose, with per-student progress.
